How ARMA collects, uses, and protects the personal and vessel-related data you share with us.
1. Who we are and how to contact us
ARMA — AR Maritime Advisors ("ARMA," "we," "us") is an independent maritime advisory practice based in La Paz / Los Cabos, Baja California Sur, Mexico. For any question about this notice or your data, contact contact@armaritimeadvisors.com.
2. What data we collect
Depending on how you interact with ARMA, we may collect:
- Contact data — name, email, phone, company.
- Vessel data — type, size, year, location, and registration details you provide.
- Documents you choose to share — ownership records, registration, invoices, contracts, and correspondence.
- Photos and videos of a vessel or its documentation.
- Fiscal and billing data needed to issue an invoice for a contracted service — name, tax ID, billing address.
We do not collect payment card data directly. Payments are processed through the engagement and payment tools used for a given contracted service.
3. How we use this data
We use this data to respond to inquiries, scope and deliver contracted advisory services, prepare reports and findings, issue invoices, and maintain the case file for a contracted matter.
4. Secondary purposes
With your consent, we may also use contact data to send the checklist you requested, respond to a specific follow-up question, or share information about a service you asked about. We do not use vessel documents, photos, or case data for marketing without your express authorization.
5. The checklist and Brevo
The ARMA Pre-Purchase Boat Buying Checklist is delivered through Brevo, ARMA's email service provider. When you request the checklist, the email address you provide is processed by Brevo under its own privacy and security terms, for the sole purpose of delivering the checklist and any related email communication you opt into. This static website does not collect or store that submission — it only links to the Brevo form.
6. Google Workspace and Drive
ARMA uses Google Workspace for email and Google Drive as the formal repository for case documents, evidence, contracts, and reports. Access to case folders is restricted to the ARMA team members working on that matter.
7. ARMA OS
ARMA is developing an internal case-management system ("ARMA OS") to track leads, cases, documents, payments, and reports. If and when ARMA OS becomes part of how your matter is handled, the same purposes and safeguards described in this notice apply to the data held there.
8. Digital signature provider
Contracts and engagement documents may be sent for signature through a third-party digital signature provider. ARMA will identify the specific provider used for your engagement in the engagement package itself.
9. Sharing with third parties
We do not sell your data. We may share specific data with third parties only when: you authorize it in writing — for example, to coordinate with a broker, yard, insurer, or notary on your matter; it is necessary to deliver a contracted service — for example, our email and file-storage providers; or we are legally required to do so.
10. Your privacy rights (ARCO)
Under Mexican data protection law, you have the right to access, rectify, cancel, or object to (ARCO) the processing of your personal data, and to revoke any consent you have given. To exercise these rights, contact contact@armaritimeadvisors.com with your request.
11. Retention
We retain case-related data for as long as needed to deliver the service, meet our own recordkeeping and legal obligations, and support any follow-up related to that matter. Retention periods for specific document types are set out in ARMA's internal document-control policy.
12. No sale of data
ARMA does not sell, rent, or trade personal data to third parties.
13. Updates to this notice
We may update this notice as ARMA's tools, services, or legal requirements change. The effective date and version above reflect the current version.
